Minutes of the Committee Meeting held at 17 Riverside Road Hersham

2) Minutes of the Meeting held on 1st June 2010

Betty said it was Colin who did most of the work jacking up the bowser to drain the diesel.

The remainder of the minutes of the meeting on 1st June were accepted as correct.

3) Matters Arising

No further word had been heard from Waitrose about the extra money and Mary thought the cheque she is holding should be paid in, all agreed.

Betty said the water bowsers are so much easier than carrying water

Mary received letter from Plantation garden centre saying it would replace the olive tree in memorial garden on condition it was placed somewhere more sunny and there was sufficient drainage in barrel. They had put one olive tree aside awaiting collection. Jenny would be happy to put it in the ground in a sunnier part of the Memorial Garden rather than a barrel, it would be left to her to choose the spot. A label would acknowledge that it had been bought by the churches and HinB’s involvement. Burley’s would plant it and water it. Sue could take the old one away to try to revive it.

Confirmation has been received of a grant received from the Elmbridge Improvement Fund of £1,046.76 but HinB must pay 25% of money spent from its own funds. The money cannot be used for the plants already bought but it can be used for those bought from now. Audrey said that some of the plants needed replacing while Mary thought some of the barrels needed extra height.Work has to be started within six months so some of the money could be used for winter planting. Work will have to be checked when completed. A notice acknowledging that the money came from the fund should be displayed. Metal roundels were included in request but Mary said 50 Roundels would cost  £820, Audrey thought it would be better to spend it on one large container with a sign saying HinB

Andy said the total cost of the bowser including refurbishment and planting came to just under £500 and is a big feature

Mary will get quote for plastic roundels.

4) Co-ordinator's Report

Mary reported she had received a phone call on Monday evening saying that the plants around the apiary had not been watered. A work party went to the school on Tuesday and found that some of the plants had died while others were in a poor state and many weeds had grown. A considerable amount of water was put on the plants and some weeding done but it was thought that it would not be wise to allow the judges to see it. A new standpipe is being placed in the school grounds that will make watering easier. Jenny had spoken to Mary on the phone and thought it would still be good to show the judges the site, Mary said she would ask John to do some weeding, Andy and Les offered to join him.If it still didn’t look too good Audrey suggested the judges were allowed to look from a distance and be told they shouldn’t go close because of the bees.

5) Treasurer's Report

6) The Route

Jenny offered to do the itinerary and accompany the judges, everyone agreed to this. She is keen to start at Burhill School, possibly Sally Taylor, deputy head, could tell them about the various projects they had including the chicken run.

The judges will be looking at the Memorial Garden in the morning then it was agreed they be taken to the Bricklayer’s for lunch.

Mike to be asked whether he would accompany the judges with Jenny, as last year, and would he agree to drive them from the Bricklayers to Burhill School in his new car.

After visiting the school cross Pleasant Place and go into the churchyard through the gate next to the doctors’ surgery to look at the wildflower meadow, the beetle stack (if completed) and the compost bin.

Leave the churchyard through the same gate, cross into New Berry Lane to see the recycling facilities.

Through the car park into the Centre where the Montessori School wellie boot exhibition will be on display. It was asked whether Anne would be able to arrange for a few children to be there.

After looking at the displays outside Hersham Hardware and other shops walk along Molesey Road past the cottages whose front gardens had been improved over recent years, the barbershop had also repainted its shop front. Continue up to the TeelaRoe beds and Thrupps Lane.

Private front gardens have to be included and it was suggested that Sandra & Mike Wallington and/or Jill & Colin Turvill be approached, 79 Queens Road was also suggested. The judges would walk along Thrupps Lane and Havers Avenue to see the gardens and if possible speak to the gardeners.

Return to Molesey Road, cross on the crossing and walk past the shops with barrels outside towards the Waterman’s. The building work there is now completed and they are putting on a bigger flower display.

Cross Queens Road to look at the village sign and its flowerbed then walk along Queens Road on the Green side until opposite the bowser. Cross back to look at the bowser and enter the Day Centre by the door behind the bowser.

Jenny suggested ending at church hall but Audrey said the Day Centre look forward to it and they can arrange the tea.

A presentation would be made there and Sue to be asked if she would arrange it as she had done it so well last year.

Betty said Lesley at the Day Centre told her the car park would be thoroughly cleaned early on the morning of the judging while there were few cars in it. Lesley’s partner would also do some weed killing there.

Gwen said weed killing needed to be done in other areas, particularly by TeelaRoe and it should be done within the next week or so to allow time for them to die off.

Betty said two barrels outside betting shop & Flowers & Things need doing, Donna (F & T) told Mary she would be going to do them on Thursday. (She didn’t)

7) Work Parties

This Saturday (26th) outside Hersham Hardware at 9.00.

Gwen and Audrey will visit Brox Nurseries to buy some fresh plants for the barrels. If they are available they will be planted on Saturday, if not the beds at the bottom of the trees near Hersham Hardware need to be tidied.

Someone needs to speak to Colin about water butt for New Berry Lane.

Betty said the trees in Molesey Road near Coronation Rec. have so much basal growth it is difficult to pass in places.

8) Plans for Judging Day

This was covered when discussing the route.

2) Minutes of the Meeting held on 7th April 2010

The Minutes of the Meeting held on 7th April 2010 were accepted as correct.

3) Matters Arising

Les reported that Matt Almond had replied to his email about the allocation of hanging baskets and troughs around the borough. He wrote that some years ago the council had decided larger numbers should be put in the larger towns.

He also mentioned that the offer had been made to HinB to sponsor more troughs but this offer had been turned down at an earlier meeting.

Mary said that she had spoken to Property Maintenance at EBC and they had said they would clean the car park by the village hall and would monitor it to ensure it was clean in time for the judgeing.

The suggestion to make a video of HinB’s activities fell through.

Sue has organised the planting of the wild flower meadow 10 am to 12 noon on May 22nd and has circulated a leaflet giving details.

Les said that he has received a list of all entries in the various ‘in Bloom’ categories and Bell Farm School has entered, Betty had given them the entrance forms.

Gwen and Betty had done some planting beside the road into the Centre car park.

The bowser was put in place but not to complete approval, there had been some diesel in it that had leaked but nearly all of this had now been drained. Audrey suggested it would look better at an angle while others thought it should be the other way round.

Andy said that while they were installing it they received a number of compliments and Mike W said he had too while draining the diesel. There was still work to be done but this would be finished at the weekend.

4) Co-ordinator’s Report

Mary reported that the litter pick in conjunction with ‘The Big Tidy Up’ had taken place on St George’s Day. Photos were taken for inclusion in the portfolio.

Four barrels needed to be moved, one from New Berry Lane to Homefield and another from outside what was Maggie’s in Molesey Road to Hersham Station. It has not been decided where to put the other two, one from outside Waitrose and the other from Paul Vanson Court. The moves had been held up because ‘Russ Boy’ was away but he is back now. The ones outside the Day Centre are to stay for the moment.

We are waiting for a response from the Civic Improvement Fund.

Mary is contacting the Youth Club to see whether members would become involved with the beetle-stack.

SCC has taken over the problem of the carpets and other items on the pavement of the shop in Molesey Road but Mary will keep an eye on it.

Mary had the application form for a stall at the Hersham Fayre and asked whether she should book one, by a show of hands it was decided not to by seven votes to one.

It was agreed instead to display the Hersham in Bloom banner on the day and a new insert be ordered showing the 2010 judging day.

5) Treasurer’s Report

Mike sad that the last bank statement showed a credit of £1,192.46 but £472 had already been committed to the apiary planting.

This did not include the grant of £1,000 from SCC for the apiary planting that has now been paid into the account.

A cheque has been received from Waitrose for £260 but it was suggested that it should have been £280. this is being questioned but either way a picture will be taken of the presentation for the portfolio.

Mike had received quotes for HinB roundels, £23.25 for large ones and £13.95 for small ones, plus VAT in each case. It was decided not to order any.

As a warning he said that this year to date we had spent £900 more than we had received. Mary said that we had not yet started to collect sponsorship for the various floral displays but she would be starting soon.

6) Portfolio for Judges

Les reported that the lay-out for this year’s portfolio had increased with a new section for a review of the previous year and up to 30 pages in total. It was agreed that as this was a maximum HinB did not need to do that much. The limit on photos had gone so much of the space could be made up with these.

7) Schedule of Work

The tree seat in Thrupp’s Lane needed to be fixed, Audrey will take the plants out and Andy will look at it to see what needs to be done. Betty has some membrane that might help but it was agreed to buy more from Wilkinsons. (Audrey removed the plants on Fri. 14th and on Sat. 15th a work party removed the soil, put in the new membrane, raised the skirt protecting the tree and replaced the soil ready for replanting).

Another work party would meet at 2.00 pm on Fri. 21st outside Hersham Hardware to prepare the barrels for replanting. Audrey said the soil would need to be topped up and B&Q was the best place to go. Gwen said she would go to Leatherhead to get some, the staff there would help to load it and she would leave it in her boot until it was needed when HinB members would help unload it.
The next meeting would be at 10.00 am on Sat. 22nd outside Hersham Hardware for barrel planting then again same time and place on the Sunday if necessary.

Anne asked whether she should buy the plants to go in the school exhibition of wellie boots or would they be included in the general order, it was agreed she should buy them

8) Date of Next Meeting

In order to accommodate those who could not make Wednesdays the next meeting would be on a Tuesday, 7.00 pm on 25th May at Gwen’s again, 17 Riverside Road

9) Any Other Business

Anne said that Audrey would be holding a plant sale and asked whether HinB should buy some. Audrey said the entrance fee would be £1.50, if any plants were left over she would give them to Anne for the wellie boot display.

The route is an important subject to be discussed, according to Jenny it need not be as long as other years. Betty said that Burhill School and the Apiary school should be included together with Homefield and the library.

It was suggested that the introduction be made at the library and the finale at the Day Centre.

The judges had been invited to lunch and the Bricklayers’ Arms was considered most suitable as it would be entered as the best pub display and it serves good food.

Betty asked whether the Riverside Park would be included this year and it was thought not.

Anne asked what would be done about the area round Laithwaites, Mary said when she was in there she was told they were looking for a contractor to look after it so there should be an improvement. Andy said that Melrose Gardening should be recommended as they sponsor HinB.

Transportation for the judges was the next subject. CPSO Zlata had suggested a police car could be used but Andy thought this might cause criticism; Zlata is no longer the local CPSO as she has moved on to other things.

It was then said that the Rotary Club’s Christmas Float, stored in Snellings Road, might be a possibility.

The route will be included on the next agenda.

Gwen said there are two tickets available for Highgrove on 12th August and she was looking into the possibility of hiring a minibus. The appointment is for 1.30 pm so lunch could be taken beforehand.

Andy had spoken to Colin Flexman who is arranging for Street Smart to refurbish the barrier at the entrance to the Day Centre car park.
